BMSTz (Business Management System) is an enterprise-grade cloud management software designed to centralize, monitor, and streamline operations for single and multi-branch retail, wholesale, service, and logistics businesses.

The platform connects business owners with ground-level branch operations by providing real-time financial tracking, inventory management, Point-of-Sale (POS) cash drawer control, staff attendance monitoring, and audit trails within a unified, responsive interface.

2. Platform Architecture & Real-Time Operation

BMSTz is built upon high-performance cloud infrastructure, combining modern browser interfaces with secure, scalable database services.

A. Real-Time Cloud Synchronization

The platform maintains persistent live cloud connections. When a transaction (such as a POS sale, stock transfer, or task assignment) occurs at any branch, updates are broadcast instantly across all authorized owner and branch dashboards without requiring manual page reloads.

B. Client Performance & Offline Protection

Essential operational data such as active catalog items, branch lists, and active sessions are stored securely in local browser memory to guarantee instant response times. If internet connectivity momentarily drops, transactions remain smooth and sync back automatically once reconnected.

C. Role-Based Authentication & Access Control

The system enforces three distinct access levels upon sign-in:

• Business Owner Account: Authenticated with primary credentials, granting complete administrative control across all enterprise branches.
• Branch Manager Account: Authenticated with assigned branch credentials and a 6-digit security PIN, restricting access strictly to the assigned location.
• System Administrator Account: Protected by secondary security verification, dedicated to system maintenance and platform diagnostics.

BMSTz enforces strict privacy guidelines and security safeguards to ensure your business data remains confidential and protected.

A. Categories of Processed Information

To deliver business functionality, the platform manages the following data categories:

• Business & Profile Information: Business Name, Owner Full Name, Mobile Phone, Primary Email Address, Business Logo, and Currency Settings.
• Branch Configuration: Branch Location, Branch Name, Manager Assignments, Operating Hours, and Access PINs.
• Sales & Financial Logs: Sales receipts, payment channels (Cash, Card, Mobile Money, Bank Transfer), items sold, tax details, and expense categories.
• Operations & Audit Logs: Inter-branch stock transfers, shift clock-in/out records, supplier details, debt tracking, and system audit logs.

B. Enterprise Data Isolation & Protection

All customer databases are protected by strict enterprise security rules. Business data is strictly isolated so that no organization can view or access another business’s records under any circumstance.

C. Configurable Session Duration & Auto-Logout

Business Owners can configure automatic session timeout periods in Security Settings (default: 8 hours). Once a session expires, the application automatically logs out to prevent unauthorized access on shared computers.

When a user logs out, BMSTz executes a security teardown by closing active data channels, clearing temporary browser storage, and resetting the application interface.

C. Scheduled System Maintenance

During scheduled platform updates, System Administrators can enable Maintenance Mode. Users attempting to log in receive a clear notification informing them when full operations will resume.

BMSTz includes a comprehensive financial reporting suite providing clear visibility into business revenue, costs, and profit margins.

A. Real-Time Financial Aggregation

The financial module automatically calculates key metrics over customizable date ranges:

• Gross Revenue: Aggregate value of completed sales across all selected locations.
• Operating Expenses: Categorized business costs (Rent, Utilities, Salaries, Purchases).
• Net Profit & Margin: Automated Profit & Loss (P&L) breakdown with profit margin percentages.
• Payment Breakdown: Income distribution across Cash, Cards, Mobile Payments, and Bank Wire.

B. Custom Report Builder (Exclusive Tier)

Exclusive plan subscribers have access to the Custom Report Builder. Owners can select key financial metrics, group reports by branch or payment channel, apply custom date filters, and review comparative performance charts.

C. Formatted PDF & CSV Data Exports

Financial reports can be exported in two formats:

• Executive PDF Reports: Generates styled summary documents complete with period headers, branch tables, and profit metrics.
• Raw Data CSV Export: Exports spreadsheet datasets compatible with accounting software like Excel and QuickBooks.

6. Business Owner & Administrator Operations

The Business Owner Portal provides complete control over multi-branch governance, security settings, and team permissions.

Branch interfaces are streamlined for fast execution by managers and cashiers.

A. Point-of-Sale (POS) & Cash Drawer

The POS register supports product searching, cart compilation, discounts, multi-payment processing, and receipt printing. Cash drawers track opening balances, cash movements, and end-of-shift balancing.

B. Central Inventory & Inter-Branch Stock Transfers

Inventory quantities are monitored per branch. On Exclusive plans, the Central Inventory Dispatcher manages multi-warehouse stock transfers between branches with real-time approval tracking.

C. Low-Stock Warnings & Restock Alerts

When product quantities fall below minimum thresholds, low-stock notifications highlight items on executive overview dashboards, allowing owners to send restock tasks directly to managers.

8. Subscription Tiers & Account Lifecycle

BMSTz offers transparent subscription plans tailored to business size.

A. Free Trial & Account Protection

New accounts include a 7-Day Free Trial with access to Starter features. If a subscription is not activated prior to trial expiration, account access is safely paused while protecting all stored business records.

B. Registration & PIN Recovery

Registration requires owner email verification. If a branch manager forgets their security access PIN, an in-app PIN reset request can be sent to the business owner for approval.

C. Subscription Cancellation & Data Retention

Owners can cancel subscriptions at any time. Upon cancellation, account access is paused while historical branch sales, inventory, and reports remain safely stored in cloud backups. Full account deletion permanently purges all tenant records upon owner request.
